Visa document requirements

Below is a general guide to documents commonly required for tourist / business visas.
Exact requirements may vary by embassy and your personal situation. VISAdocs.id will help review your documents and adjust them to the latest rules.

1. General requirements (all visas)

Most visa applications usually require:

  • Original passport, valid at least 6 months from your departure date (old passport if available).

  • Recent colour photograph according to each embassy’s specification.

  • Copy of National ID (KTP) and Family Card (KK); Birth Certificate for children.

  • Proof of employment or business:

    • Employment letter and recent payslips, atau

    • Business license (SIUP/NIB) for business owners / self-employed.

  • Bank statements or savings account for the last 3 months.

  • Travel plan:

    • Flight booking (dummy reservation is usually acceptable at the initial stage).

    • Hotel booking or proof of accommodation.

    • Simple day-by-day travel itinerary.

  • For visiting family or friends: invitation letter and ID/passport of the inviter.

  • For children under 18:

    • Birth certificate.

    • Copies of parents’ passports/IDs and Family Card.

    • Parental consent letter if travelling without one or both parents.

Note: All copies should be clear and readable. Embassies may ask for additional documents at their discretion.

2. Schengen Visa (Tourist / Business)

Estimated processing time: around 15 working days after biometric appointment.

  1. Original passport and previous passports (if available), valid at least 3 months after return date.

  2. Completed Schengen visa application form (as per the embassy or VFS/BLS website).

  3. Sponsor letter from employer or business (English), signed and stamped.

  4. Proof of employment or business (contract, SIUP/NIB, company registration, etc.).

  5. Personal bank statements for the last 3 months.

  6. Copy of KTP, KK, and Marriage Certificate (if married).

  7. For children: Student card or school letter, and Birth Certificate.

  8. Two (2) recent photographs, size 3.5 × 4.5 cm, white background, 70% face close-up.

  9. Round-trip flight reservation (dummy ticket is acceptable at this stage).

  10. Hotel reservation or proof of accommodation for the entire stay.

  11. Travel medical insurance that meets Schengen requirements.

  12. If visiting friends or family:

    • Invitation letter.

    • Copy of inviter’s passport/ID and residence permit (if applicable).

    • Proof of address (rental contract, utility bill, etc.).

Important notes for Schengen visa

  • Do not purchase non-refundable flight tickets or hotel stays before your visa is granted. Use refundable or dummy bookings.

  • Applicant must attend the biometric / fingerprint appointment in person.

  • Visa fees and service fees are generally non-refundable in case of refusal by the embassy.

3. USA Visa – Visitor (B1/B2)

Estimated processing time: around 10–14 working days after interview date (may vary by embassy).

  1. New passport valid at least 6 months from intended entry date (attach old passport if available).

  2. One (1) colour photograph, 5 × 5 cm, with white background (as per US visa photo rules).

  3. Completed DS-160 online form and confirmation page with barcode.

  4. Sponsor letter from employer or business on company letterhead, signed and stamped.

  5. Proof of business ownership (SIUP/NIB) if self-employed.

  6. Bank statements or savings account for the last 3 months.

  7. Copy of KTP, Family Card (KK), Marriage Certificate, and Birth Certificates of accompanying children.

  8. Simple travel itinerary (cities to visit, approximate dates).

  9. Hotel booking (optional but recommended for tourists).

  • The US Embassy generally does not require confirmed flight tickets to apply for a visa.

  • Approval is based on interview and documents; visa issuance is fully at the discretion of the US Embassy.
